For this round of testing, we are trying a higher-touch per facilitator model since we will have fewer facilitators and would like to optimize the number of respondents. To achieve this we will follow these steps:
Respondent Recruitment: As we confirm facilitators, they should let us know who they plan on working with as a respondent, including the categories in the columns above. As they let us know we add them as rows to the above database. We should check regularly to see if we are capturing a diversity within each of the column areas. If there is an area lacking, we will contact the facilitators to see if anyone can add a respondent who meets the under-represented category.
Respondent Confirmation: Once we feel good about our mix of respondents, each facilitator should get an email from us that will serve as their “Intro / First Reminder” noted above (note: we should discuss if we’d like to split these up and instead have separate messages for each, giving us 3 planned touch points instead of 2). This message should include a list of the respondents they said they would test with as a reminder, and a link to the testing materials so they can go back and reference them when needed.
Facilitator Reminders / Management: After the above step, our goal is to manage facilitator responses to get as many respondents from their listed target as possible. To achieve this, we will check our survey responses regularly. If a facilitator completes all of their scheduled sessions, we will mark them as complete above. Half way through testing, we will send them a reminder noting the sessions they haven’t completed. If they have completed them all we will send a thank you message noting their completion and our appreciation. (Note: if adding a 3rd touchpoint, we would send that message when there are several days remaining before the end of testing).
